Roam Travel Company works closely with you to create stress-free, beautifully designed and fully customized itineraries. We categorized our trips into two types, comprehensive itineraries and hotel-only reservations.
These types of trips usually include multiple components and regions, such as a honeymoon exploring Thailand or a family trip to Italy. Therefore, the process for booking comprehensive itineraries requires more detailed planning and more time. To simplify the planning process, we have created a step-by-step guide to ensure that designing your dream trip is a breeze. We suggest that you contact us six months to one year prior to departure, but will happily do our best to assist with shorter or longer lead times.
STEP 1: YOUR CALL OR EMAIL

This initial call or email will allow us to discuss your ideas and travel preferences, deciding if we are a good fit for each other. It is important to note in advance that we assist with private travel, meaning no group tours or shuttles (with occasional exceptions, such as safari). If all goes well, it is time to customize…
STEP 2: YOUR PLANS
Let’s hear what you have planned. Whether you have dates and destinations decided or not, we will go over the details of the trip as you imagine it. We want to know about your special interests, hobbies and hotel design preferences, too. Creating personalized itineraries is hard work and requires specialty knowledge. At this time, we will require a $500 per person planning fee which will be applied to the trip cost (planning fee subject to change based on services required).
STEP 3: YOUR BASIC ITINERARY
The next step is planning a day-by-day itinerary. Your outlined itinerary will include suggested hotels, general logistics, planned touring and leisure time and a beginning price point. Together we will review and tweak the itinerary if needed. Once you are pleased with the plan, we will take the full trip deposit of 30% of the trip cost to reserve and confirm the services (full deposit subject to change based services required).
STEP 4: THE FINER DETAILS
After we have secured the basics of your trip, we can start to work out the finer details. From private meetings to special interest tours to dinner reservations. We even have an expert foodie who can create a customized restaurant list for you based on your preferences (available in certain cities). Once most of the itinerary has been colored in, we will send you a more detailed itinerary to set your expectations and get you excited for what’s to come!
STEP 5: YOUR PRE-TRIP
Your final payment is due 90 days prior to departure, which we will be sure to remind you of. Two to three weeks before you jet off, you will be sent your final documentation. The itinerary will include all the information you need to flow through your trip, along with local emergency contact information. We are happy to go over the final documents with you to answer any last questions. Now, all that is left to do is pack your bag and show up!
STEP 6: YOUR TRIP
The dream trip has arrived! But our services do not end there. As confident as we are that your experience will be everything you hoped for and more, understand that we are always just a phone call away. While you are traveling, there will be a 24/7 emergency line available to you. In addition, we love small surprises so there is a chance you will encounter one from us along the way.
STEP 7: YOUR FEEDBACK
Welcome home! We hope your trip brought you many unforgettable moments and perhaps changed the way that you look at the world. Once you have settled in, we will contact you to arrange a post-trip phone call. We truly value your feedback and want to hear all your thoughts and stories!
The process for booking hotel-only reservations is very simple. We are happy to gather options for you based on your interests and style with no planning fee required. Once you have chosen a property, the hotel may collect a deposit to secure your reservation or simply require a credit card on file. This is based on the hotel policy and we will inform you of deposit requirements and cancellation policies before confirming. We will provide you with destination information and emergency contact information, but there is no formal documentation for these bookings.
